GYPSIES NATION is an adventure travel business operating from Rishikesh, Uttarakhand, India. In this policy, “we”, “us”, and “our” refer to GYPSIES NATION.

Information we collect
The information we collect depends on how you interact with us.
- Contact details such as your name, phone number, email address, city, and preferred contact method.
- Trip details such as destination, departure date, group size, preferences, special requests, and messages you send us.
- Booking and transaction details such as the selected package, amount paid, payment method and reference, payment receipts, cancellations, and refunds. We do not ask you to send full card or banking credentials through our website.
- Customer-dashboard records such as booking status, quotations, trip updates, readiness submissions, documents made available to you, and the time an authenticated session is used.
- Safety information needed after you choose to book, which may include age, identity documents, emergency contact, relevant medical conditions, fitness declarations, dietary needs, and permit or insurance information.
- Technical information such as device and browser type, approximate location derived from IP address, pages visited, referring page, and website interactions collected through logs, cookies, or analytics tools.
How information reaches us
- Directly from you through website forms, WhatsApp, phone, email, social media, waivers, or documents you provide.
- From the person arranging a group booking, who must have permission to share the other travellers’ details.
- From service providers involved in your booking, such as payment, transport, accommodation, permit, insurance, or emergency-support providers.
- Automatically when you use the website, if analytics or similar technologies are enabled.
Why we use your information
- To answer enquiries, recommend suitable experiences, verify availability, and create or manage a booking.
- To provide a secure customer dashboard where you can review your booking, payment progress, trip updates, and documents.
- To collect and reconcile payments, issue invoices, handle cancellations or refunds, and maintain business and tax records.
- To arrange guides, permits, accommodation, transport, equipment, meals, insurance, and other services included in your trip.
- To assess trip suitability, prepare for dietary or medical needs, communicate safety information, and respond to an emergency.
- To provide customer support, send operational trip updates, prevent misuse, secure the website, and improve our services.
- To send promotional messages only where permitted and where you have chosen to receive them. You can opt out at any time.
- To comply with legal obligations, resolve disputes, and protect travellers, our team, and our legitimate business interests.
Consent and your choices
Where consent is required, we will request clear permission and explain the purpose. You may withdraw consent by contacting us, although this will not affect processing already completed lawfully.
Some information is necessary to answer an enquiry or deliver a booked trip. If you do not provide it, we may be unable to confirm or safely operate the service.
Storage, retention, and international processing
We keep information only as long as reasonably needed for the purpose collected, including customer support, safety, accounting, tax, fraud prevention, and legal requirements. Enquiry records are periodically reviewed; confirmed booking and transaction records may be retained for the applicable statutory period. Sensitive safety information is restricted and deleted or anonymised when it is no longer needed.
Some technology and communication providers may process data on servers outside India. Where this happens, we use reputable providers and take reasonable steps to require appropriate protection, subject to applicable law.
Security
We use reasonable administrative, technical, and organisational safeguards to protect personal information and restrict access to people who need it. No internet transmission or storage system is completely secure, so we cannot promise absolute security.
Documents uploaded through trek readiness are stored in private storage and opened through short-lived signed links. They are available only to the authenticated customer attached to the booking and authorised booking administrators.
Please do not send card PINs, one-time passwords, passwords, or unnecessary medical documents by WhatsApp, email, or website forms.
Children and group bookings
A parent or legal guardian must provide or authorise personal information for a traveller under 18 and complete any required consent or safety documentation. We do not knowingly seek direct bookings from children.
A group organiser must ensure they are authorised to share each participant’s details and should direct them to this policy.
Your rights and grievances
Subject to applicable law, you may ask what personal information we hold about you, request access or correction, ask for erasure where retention is no longer required, withdraw consent, opt out of marketing, or raise a grievance.
Send requests to gypsiesnation@gmail.com with enough information for us to verify and respond safely. We will acknowledge and address the request within a reasonable period. You may also use remedies available through the relevant Indian authority where applicable.
Changes to this policy
We may update this policy when our services, providers, or legal obligations change. The effective date at the top shows the latest version. Material changes will be highlighted on the website or communicated where reasonably necessary.
