Policy scope
This policy applies to treks, camps, tours, rafting, bungee jumping, and other adventure experiences booked directly with GYPSIES NATION. A customised trip, permit, flight, premium stay, third-party activity, or special event may have different written terms disclosed before payment; those specific terms take priority for that item.
The departure date means Day 1 shown in your written booking confirmation. Cancellation windows are counted backwards from 12:00 a.m. on that date in Indian Standard Time.
Traveller cancellation refunds
Our standard policy gives you free cancellation when we receive your request at least 15 full days before departure. Refund percentages apply to the trip fee received by us for the cancelled traveller, after subtracting any disclosed non-recoverable third-party cost and payment reversal charge.

How to cancel
- Send a clear written cancellation request to gypsiesnation@gmail.com or the official GYPSIES NATION WhatsApp number used for your booking.
- Include the lead traveller’s name, booking or payment reference, trip name, departure date, and the travellers being cancelled.
- A request is effective when it reaches our official channel. We will acknowledge it in writing; please follow up if you do not receive an acknowledgement within one business day.
- A phone call or message to a guide, driver, or unofficial social account does not complete a cancellation unless our booking team confirms it in writing.
Rescheduling and name changes
You may request one date change at least 15 days before departure without a rescheduling fee, subject to availability. You must pay any increase in the new trip price; a lower-price difference will be issued as a non-cash travel credit valid for 12 months.
A request made 8–14 days before departure may be accepted with a 20% rescheduling charge. A request 0–7 days before departure is treated as a cancellation. Any already-paid permit, transport, accommodation, insurance, or supplier change fee is additional.
Name transfers are considered case by case and may be unavailable where permits, tickets, insurance, or supplier rules do not allow them. The replacement traveller must meet all eligibility and fitness requirements.
Late arrival, no-show, or leaving early
There is no refund for a no-show, late arrival that prevents participation, unused service, voluntary withdrawal after the trip begins, or removal for unsafe conduct or failure to meet a disclosed participation requirement.
If illness, injury, altitude symptoms, or another safety concern requires a traveller to descend or stop, the trip leader will prioritise safety. Unused trip services are not refundable, and additional evacuation, transport, accommodation, or medical costs are the traveller’s responsibility unless covered by insurance or expressly included.
If we cancel before departure
If we cancel a confirmed trip for an internal operational reason within our reasonable control, you may choose: a suitable alternative departure, a travel credit valid for 12 months, or a full refund of the trip fee paid to us for the cancelled service.
We are not responsible for separate flights, trains, hotels, visas, equipment, or other personal arrangements not booked through us. Flexible travel bookings and appropriate travel insurance are strongly recommended.
Weather, closures, and force majeure
Safety comes first. Severe weather, flood, landslide, avalanche risk, wildfire, natural disaster, epidemic, civil unrest, transport disruption, permit or trail closure, government order, or another event outside reasonable control may require us to delay, relocate, shorten, reschedule, or cancel a trip.
If such an event prevents the trip from starting, we will first offer a reasonable alternate date or trip. If you cannot accept it, we will provide a travel credit valid for 12 months or, where reasonably possible, refund the recoverable balance after clearly itemised and evidenced non-recoverable supplier costs. We will not retain more than the loss actually incurred for that booking.
If the event occurs after the trip starts, we will provide the safest reasonable alternative. Amounts already used or committed are not refundable, but we will return any material recoverable balance. Additional costs caused by the event are borne by the traveller unless included in writing or covered by insurance.
Add-ons and third-party services
Transport, equipment rental, permits, insurance, activity tickets, premium accommodation, and other add-ons may be issued or reserved in advance. Their supplier’s cancellation terms apply where disclosed before purchase.
We will identify any non-refundable or non-recoverable item and, on request, explain the deduction. We do not deduct a supplier cost that we have not actually incurred or committed.
Refund method and timing
- Approved cash refunds are returned to the original payment method where practicable. A payment made with a credit or voucher is refunded as credit or voucher.
- We aim to initiate an approved refund within 7–14 business days after confirming the amount. Banks and payment providers may take additional time to show the credit.
- Payment gateway, bank, currency-conversion, or reversal charges are deducted only when they are non-recoverable and permitted by law.
- Travel credits are non-cash, may be used for a direct GYPSIES NATION booking within their validity, and cannot be combined or transferred unless we agree in writing.
Group and partial cancellations
A cancellation for one or more members of a group is calculated per cancelled traveller. If the remaining group becomes too small for a quoted private-group price, we may reprice the remaining booking or offer alternatives after discussing the change with you.
The lead traveller is responsible for communicating this policy to the group, but each traveller retains their applicable legal rights.
Exceptional cases and statutory rights
We may consider documented exceptional circumstances compassionately, but any waiver is discretionary and does not change this policy for other bookings.
Nothing in this policy limits a refund, remedy, or consumer right that cannot lawfully be limited. If a confirmed service is materially different from what was promised, contact us promptly so we can investigate and provide an appropriate remedy.
